Privacy Policy

Version 1.2 – Last Updated: June 2025
Minor updates to reflect Calm After Cancer Mini-Course access, quiz-based triage guidance, and refund and support boundaries.

1. Our Commitment to Privacy

1.1. The Cancer Rollercoaster (“we”, “us”, or “our”) is operated by MRD PSYCHOLOGY PTY LTD (ABN 91 647 516 685). We are committed to safeguarding the privacy of our clients, community members, and program participants across our website and digital platforms.

1.2. We comply with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and any applicable health records legislation. As a registered Clinical Psychologist, Michelle Davey also complies with AHPRA standards and the ethical codes of the Psychology Board of Australia.

1.3. This Privacy Policy explains how we collect, use, disclose, and protect your Personal Information and Sensitive Information across our website, the Circle community platform, clinical services, email communications, and educational programs — including the Calm After Cancer Mini-Course.

2. Definitions

2.1. Personal Information refers to information or an opinion that identifies you or could reasonably identify you (e.g. your name, address, phone number, or email).

2.2. Sensitive Information includes information about your health (physical or mental), racial or ethnic origin, sexual orientation, religious beliefs, or membership in a professional or political association.

3. Collection of Your Data

3.1. We collect your Personal and Sensitive Information (“your Data”) when you:

  • Use our website or Circle community
  • Sign up for a program, event, resource, or mailing list
  • Complete a Participant Information Sheet or quiz
  • Join a Zoom session or Circle discussion
  • Provide payment or billing information
  • Interact with us via email or social media
  • Complete a self-assessment or emotional wellbeing quiz

3.2. Your Data may include:

  • Name, email, phone number, and mailing address
  • Billing and payment details (e.g. via Stripe or Square)
  • Health-related details, including treatment history or emotional concerns
  • Survey responses, quiz results, or written comments
  • Information from third parties (e.g. with consent, your doctor or family member)

3.3. You may choose not to provide certain information, but this may limit our ability to offer specific services, such as group programs, resources, or triage-based support suggestions.

3.4. Sensitive Information is only collected with your informed consent, unless required by law.

3.5. We may receive limited information from third-party platforms (e.g. Tally, Airtable, Kit, Stripe, Square, Cliniko) to help us deliver our services.

4. Use of Your Data

4.1. We use your Data to:

  • Deliver educational content, therapy services, or self-guided programs
  • Process payments and administer user accounts
  • Communicate updates, reminders, and support invitations
  • Understand user needs and improve our services
  • Meet ethical, legal, or clinical obligations

4.2. We may use de-identified or aggregated data to analyse usage trends, develop future resources, or conduct quality improvement. This information cannot reasonably identify you.

4.3. Sensitive Information is only used or disclosed when:

  • You provide written or verbal consent
  • Required by law
  • Necessary to address a duty-of-care or emergency risk

4.4. Some onboarding or triage features may include technology-assisted tools (e.g. AI-informed forms). These tools do not make automated decisions about your care. All responses are reviewed by qualified clinicians to ensure appropriate guidance.

4.5. If you complete a quiz or self-assessment, your responses may be used to:

  • Suggest programs or resources relevant to your current needs
  • Invite you to explore community spaces or receive email support
  • Help us understand emotional wellbeing trends across the population

Quizzes are non-diagnostic and not a substitute for clinical assessment. All results are used for general guidance only and do not replace medical or psychological advice.

5. Disclosure of Your Data

5.1. We may share your information with trusted service providers, only when necessary to deliver our services. These include:

  • Circle.so – our secure online community platform
  • Zoom – used for live sessions (never recorded without explicit consent)
  • Stripe & Square – secure payment processors
  • Kit (formerly ConvertKit) – used for email delivery and segmentation
  • Cliniko – secure patient records for clinical services only
  • Airtable – for internal tracking of programs, enrolments, and quiz results
  • Tally.so – used for self-assessment tools and custom forms

Data from Airtable and Tally may be stored in the United States under strict encryption standards.

5.2. We ensure all third-party platforms comply with security protocols equivalent to Australian privacy standards.

5.3. Where required by law (e.g. court order, subpoena, or imminent safety concern), we may disclose relevant information to authorities or legal representatives.

5.4. We never sell or rent your personal information to advertisers or other third parties.

5.5. In the event of a business restructure or sale, user data may be transferred under confidentiality obligations and only as permitted by law.

5.6. Quiz or self-assessment responses are stored securely and used only for program delivery or internal review. They are never made public or shared externally.

6. Overseas Disclosure

6.1. Some of our service providers (e.g. Circle, Zoom, Airtable, Stripe) store or process data in the United States or other jurisdictions.

6.2. By using our programs or digital tools, you consent to this overseas storage. All platforms we use are selected for their security, encryption, and adherence to global data protection frameworks.

7. Data Retention & Security

7.1. We retain your Data only as long as necessary or as required by law. For example, clinical records are retained for at least 7 years under Australian legislation.

7.2. Your information is stored securely in encrypted platforms, with access limited to authorised staff.

7.3. While we take all reasonable steps to protect your data, no system is entirely risk-free. Information transmitted online is at your own risk.

7.4. You are responsible for maintaining the confidentiality of your login credentials for any Circle or program-related platform.

8. Access to Your Information

8.1. You may request access to or correction of your Personal Information at any time by emailing 📩 michelle@thecancerrollercoaster.com.

8.2. We may charge a small administration fee. We may also refuse access where permitted under the Privacy Act 1988 (e.g. where it poses a safety risk).

9. Cookies, Analytics & Tracking

9.1. We collect general website data such as device type, browser, and location to understand user behaviour.

9.2. We use tools like Google Analytics to improve the quality of our services. All data collected is de-identified.

9.3. You can disable cookies in your browser settings if preferred.

10. Direct Marketing

10.1. We may send email updates about new programs, community events, or educational tools.

10.2. You can unsubscribe at any time using the link in the email or by contacting us directly. This does not affect essential communications (e.g. program access, receipts).

10.3. We do not share your data with third parties for their marketing purposes.

11. Children & Minors

11.1. Our programs are not intended for individuals under 18 without parental or guardian involvement.

11.2. If we become aware that a minor has submitted personal data without consent, we will take steps to delete it.

12. Emergencies and Duty of Care

12.1. Where there is a reasonable belief of serious harm to yourself or others, we may disclose information to emergency contacts or services in accordance with ethical and legal duties.

14.2. Continued use of our services confirms acceptance of the updated policy.

15. Educational Nature of the Mini-Course

15.1. The Calm After Cancer Mini-Course is a self-guided digital resource. It is not a psychological treatment or therapeutic intervention.

15.2. Participating in the Mini-Course does not establish a clinical relationship with Michelle Davey or any other clinician involved in The Cancer Rollercoaster.

15.3. While the course draws on evidence-based psychology tools, it is designed for general wellbeing support and should not be relied on as a substitute for individual therapy or medical advice.

15.4. No email, direct message, or Q&A support is provided as part of the Mini-Course. The associated free Circle community is not a clinical space and is not monitored for psychological distress.

15.5. If you are experiencing significant fear, distress, or safety concerns, we encourage you to speak with your GP or a qualified health professional.

16. Refunds and Digital Access

16.1. The Calm After Cancer Mini-Course is a digital product with immediate access provided upon purchase.

16.2. As such, no refunds are available under any circumstances, including change of mind.

16.3. This policy aligns with the Australian Consumer Law, which recognises that digital downloads are exempt from refund requirements once access is granted. By purchasing the Mini-Course, you agree to this no-refund policy.
